SUNSET LAKES BOARD OF DIRECTORS
MEETING MINUTES
November 13, 2008
7:pm at the Moose Lodge
CALL TO ORDER: The
meeting was called to order at 7:05 pm.
VERIFY QUORUM: Chris
Gerace, Gina McDonald, Ed Schaffer and Lee Tibbits were all present establishing
a quorum.
APPROVAL OF MINUTES:
Ed Schaffer made a motion to accept the September minutes as written Lee
Tibbits seconded the motion and all were in favor.
COMMITTEE REPORTS:
1. ARC Committee There was
no report at this time. Chris Gerace mentioned that we need 3 more members
on the Committee to lend a hand to Jim Turner. It was recommended that
a list of colors be established to provided guidance for paint approvals.
2. Gazette; George Hawkins
reported the Newsletter was up and running same as before. Lee Tibbits
mentioned that Jacki has updated the October info on to the website and
November will be updated soon. The website will updated twice per month
(if applicable) going forward.
TREASURER’S REPORT
1. Report on finances:
Lee Tibbits reported that the reserves and operating accounts have been
balanced and reconciled.
2. Outstanding dues: The
board will call delinquent owners in an effort to collect before turned
over to the attorney.
3. Discussion on liens/foreclosures:
APM will draft a last chance letter to owners who are delinquent providing
the option to pay with a credit card.
4. Budget Meeting Date: The
Budget Meeting was set for January 13th at 7:pm to be held at the Moose
Lodge. APM will send out an email notification with this packet for those
who would like to get future notifications by email vs. USPS.
OLD BUSINESS
1. Island Estates Gate Repairs:
The gate operator was ordered and should be in within the next week. APM
will call CFS to get an owner updated into the system and to set the gates
for day light savings time.
2. Lawn Service/Grass in
Lakes: There has been no issue with grass in the lakes lately. The sign
seems to be working that an owner installed at the lake bank. The Board
instructed APM to contact Commercial Mowers requiring them to use a mulching
kit around the lakes and near homes.
3. Storm Water Maintenance:
There are two sinkholes (Killarney & Sunset Lakes Drive) that are scheduled
to be repaired in January after the water level drops down the cost will
be around $5K to $8K.
NEW BUSINESS
1. Due Process Committee:
There are several violations that need to go to Due Process. APM will forward
the board a sample “Hearing Notice” and Fine Schedule for Review. It was
explained how the Committee works and the Board imposes the actual fine.
The DPC needs another member as they only have 2 and need a minimum of
3.
2. Document Revisions for
Member Vote: This subject was discussed briefly and the revisions will
be sent out with the Annual Meeting notice. The Annual Meeting will be
held in February. Mary Hillberg created a “Community Book” that was recommended
for future new residents as a welcome package. The book contains helpful
phone numbers and an organized collection of Association Documents, amendments
and Association info. Mary will provide Chris Gerace with a copy to review
and more may be made at the expense of the Association.

no further business the meeting was adjourned at 8:50pm.
